Excel Import Tool for Creating Synergy Requests

This tool allows a resource in e-Synergy create requests based upon data that is found in Microsoft Excel files.

This tool can be used by companies that wish to create mail merges in Word (or Outlook) and have a request created automatically in the Account Card linked to a sample or template of the document. This is especially useful when a list is generated from e-Synergy and various accounts are deleted from the merge process according to internal selection criteria. A second example of using this tool is when a trade show list needs to be imported into e-Synergy for Accounts that require follow-up.

An Excel spreadsheet template is provided with the solution, along with the Visual Basic program that allows the Import process. To use this tool, a resource would take our template and by using standard Microsoft Cut and Paste functionality insert data from the merge or other lists (optional and required fields) into the appropriate Excel rows.

The program performs basic validation (prior to the import process) and checks for the existence of valid Account Codes (required), Resources (required), Project IDs (if used) and Document IDs (if used). Using the template, the only additional required field is “Description.” The template includes five free fields and five date fields which can be used for the creation of the requests.

Once the template is saved, the resource uploads the template into e-Synergy. The Event Manager will look for the existence of this information and create a specific request for each row of the spreadsheet with the designated information. To use the tool, the Event Manager will need to have a Query Definition and Event created to select the correct request and place the fields from the Excel template into the proper request fields.

This tool provides a method to ensure that all account activities are stored in e-Synergy, even those completed outside of standard functionality for merges and documents.
