In order to fully utilize the power of printing posting journals and other documents to file, Exacts Standard printing procedure has some limitations and challenges that make it cumbersome to use, especially in larger organizations.
The main drawbacks to use the standard Macola system for widespread print to File and Archive are:
- The path has to be set by each user on each workstation for each report.
- If the corporation wants to print to an archive location, the name of the report has to be set for each user, likely by each user, who may not be experience in the correct format.
- The Path that all reports are printed to will eventually fill up and need to be archived. If the standard exact naming convention is used after 999 records the files are over written by the system.
- If the user prints to a special name and appends to the file, this will eventually be come very large and unmanageable. It would be preferable to change the name every week/month etc.
- If the users use a logical name such as PostingJnl_july06_mary they will have to change this from time to time, which again is time consuming and requires all users to be knowledgeable enough to make these changes.
- If the reports are left to print to the default path they will fill up and overwrite in a relatively short time. If the Admin staff needs to move these reports to a central location they will have a difficult time determining the actual report underlying the default names such as OESLSJNL001.prt as this name will be re–used from time to time.
- In a multi work station environment where all reports are printed to local drives the admin staff has to copy these reports to a central location, likely grouped by date. It is virtually impossible for Admin staff to be able to copy all these reports from local machines to a central location in a timely fashion. Thus it is better to have everything print to the central location.
- Even when reports are printed to a central location, if these are moved using Windows Explorer the Report list in Macola is not updated and stale name sin it, resulting in difficulty when trying to open archived files.
- A better solution is to direct all these to a known network location and have admin staff back up and archive these reports from time to time.
- Another issue that develops is that often files are simply deleted from the Workstation without giving any consideration to deleting the record from the table that controls the Report Viewing tool within Macola.
- To alleviate this problem Harvest has developed a Tool that allows all paths, for all users, for all reports to be set from one central location.
The Path Setter Utility has been designed to allow users the ability to change the default paths for any report that is printed to file from within Macola ES. Whether the change is applicable to one user, several users, one report or several reports, this modification makes this process simple to implement and allows the user to make multiple changes simultaneously.
The administrator can control that all reports are directed to a known location and change these locations without having the users remember the report path location and timing policy. This alleviates the task of moving all reports to an archive location, but allows them to be directed and managed there first.
This allows the Administrator to monitor to make sure the standard Macola numbering convention does not result in overwrites.
