Multi User Tag Count

Overview:

When a physical inventory is processed, a single Tag Batch is often used for the entire inventory. Macola will not allow multiple users to add Tag Counts to the same Tag Batch simultaneously. This is not practical if there are a large number of tags to be entered.

This enhancement is an MS Access 2000 program that will allow up to 25 users to enter Tag Counts to the same Tag Batch simultaneously.

Details:

A single Batch of Tags will be created and printed for each Location. A coordinator will dispense small numbers of tags (count-batch) to Count personnel. These count-batches will be returned to the coordinator where they will be manually checked for completion and resequenced into Tag No order if necessary. A 'Count Batch' form (not supplied with this application) similar to the following will be completed by the coordinator:

No of Tags: _________________

Check Count: ________________

Batch ID is the Macola Batch ID being counted

  • First Tag is the Tag Number for the first tag in this count-batch
  • No Of Tags is the total number of tags in this count-batch
  • Check Count is the sum of all counted item in this count-batch (used to validate the data entry - see below)

The form and tags will be assigned to a data entry person. A user interface will be provided.

User will enter the Batch ID, First Tag No, No of Tags and Check Count as found on the Count-Batch form, then click the 'Get Tag Batch' command to retrieve the data for this Tag batch.

User may then enter Tag counts directly in the 'Count' field, pressing to move to the next Tag.

A 'Total Count' will provide a running sum of counts entered. This total must match the 'Check Count' total before the user may execute the Commit this Batch' command.

Validations:

The following validations will be performed:

  • First Tag No Cannot be null and must be a Tag that has not already been counted
  • No Of Tags Cannot contain a Tag that has already been counted
    Must be a number between 1 and 100
  • Check Count Total Count must equal Check Count to commit batch

Process:

When user selects 'Get Item Data', the input fields will be validated, the selected tags will be flagged as 'In Use' and the tag data will be retrieved and displayed. User will enter all tag counts in the 'Count' field. When finished, user will select the 'Commit This Batch' command to write the data to the Macola Tag file. If the screen is closed without committing the batch, or if the 'Cancel Batch and Start Over' command is selected, all records in this Count Batch currently flagged as 'In Use' will be cleared.

When a Count Batch is committed, a message will confirm the successful completion of the Count Batch, the screen will be cleared and made ready for the next Count Batch to be entered.
